This Privacy Policy explains how The Crawlers (“The Crawlers”, “we”, “us” or “our”) collects, uses, stores and protects personal data when you visit our website, make a booking, contact us or participate in one of our experiences.
The Crawlers processes personal data in accordance with the EU General Data Protection Regulation (GDPR) and applicable Dutch data protection law.

For the purposes of the GDPR, The Crawlers is the data controller for personal data we collect and determine how to use.

Depending on how you interact with us, we may collect:

Where one person books on behalf of a group, we normally collect the lead booker’s contact information rather than requiring personal information from every participant.
We ask customers not to provide unnecessary sensitive personal data.
3. Why we use your personal data
We may process your personal data for the following purposes:
Bookings and performing our contract with you. We use your information to process reservations, take payment, manage availability, confirm your booking, provide information about the experience, communicate changes, process cancellations or refunds and provide customer support.
Experience communications. We may use your phone number, email address or WhatsApp to provide practical information such as meeting details, venue information, timings, route information or changes relating to your booked experience.
Safety and operational purposes. We may process relevant information where reasonably necessary to deal with incidents, complaints, emergencies, disputes, venue issues or safety concerns.
Customer service and reviews. We may contact you following an experience regarding your booking, customer service or to request feedback or a review.
Marketing. Where required, we will only send ongoing promotional emails, WhatsApp messages or similar direct marketing where you have provided appropriate consent or where another lawful basis clearly applies. You may unsubscribe at any time.
Legal and accounting obligations. We may retain information where necessary to comply with tax, bookkeeping, legal, fraud-prevention or regulatory obligations.
Website operation and analytics. We may process technical data and cookies to operate, secure and improve our website and, where consent is required, for analytics or advertising purposes.
GDPR requires processing to have a lawful basis. Depending on the activity, we rely primarily on performance of a contract, compliance with legal obligations, legitimate interests, or consent.
4. Wix and online bookings
Our website and booking system are operated using Wix.
When you make a booking, information you provide through Wix Bookings or Wix checkout may be processed through Wix systems on our behalf.
This can include your:

form submissions.
Wix and any connected payment service providers may process information in accordance with their own privacy terms and applicable data-processing arrangements.
The Crawlers does not normally receive or store your complete payment-card number.
5. Payments
Payments may be processed by Wix Payments or another payment provider made available through our website.
Payment providers may process payment-card information, billing information, fraud-prevention information and transaction details independently or on our behalf where necessary to complete your purchase.
Where a payment provider offers a card-on-file function, payment information will only be stored in accordance with the provider's applicable security and consent requirements. The Crawlers does not itself store full card details.
6. WhatsApp communications
We may use WhatsApp to communicate information connected with your booking, including meeting details, venue locations, timings, itinerary information and customer assistance.
If we use a WhatsApp group, participants should be aware that other members of the group may be able to see information associated with their WhatsApp account, such as their telephone number, profile name or profile image depending on their settings.
Where practical, we may instead use individual messages, broadcasts or other communication methods that limit disclosure between customers.
Participation in a WhatsApp group will not be required where another reasonable communication method is available.
We will not use your WhatsApp number for unrelated ongoing promotional marketing unless we have an appropriate lawful basis to do so.
7. Photos and videos
During an experience, we may occasionally take photographs or videos for promotional, social-media or marketing purposes.
Where an identifiable person is the focus of promotional photography or video, we will seek appropriate consent where required.
You may participate fully in an experience without agreeing to appear in promotional content.
If you previously consented and later want us to stop using identifiable content based on that consent, contact us at info@thecrawlers.nl. Withdrawal of consent does not affect processing that was lawful before withdrawal. GDPR specifically protects the right to withdraw consent at any time where consent is the lawful basis.
8. Marketing communications
Where you separately choose to receive news, offers or promotional communications from The Crawlers, we may use your email address or phone number for that purpose.
Accepting our Terms & Conditions or making a booking does not automatically mean that you consent to promotional marketing.
You may withdraw your marketing consent at any time by:

using the unsubscribe option included in the communication; or

We may still send non-marketing communications necessary to administer an existing booking.
9. Reviews and feedback
After an experience, we may send a limited follow-up communication asking about your experience or inviting you to leave a review.
We treat genuine booking-related follow-up separately from ongoing promotional marketing.
If a third-party review service is used, information you submit directly to that platform is also subject to that provider's privacy practices.
10. Partners and third parties
We may work with bars, clubs, activity providers, payment providers, technology providers and other commercial partners.
We only share personal data where reasonably necessary for purposes such as:

GDPR transparency rules require businesses to disclose where relevant that data may be transferred outside the EU/EEA and what safeguards apply.

We keep personal data only for as long as reasonably necessary for the purpose for which it was collected or where retention is required by law.
Retention periods may vary depending on the information involved.

Booking and transaction records may be retained for the period required for accounting, tax, dispute-resolution and legal purposes.
Customer-service communications may be retained for as long as reasonably necessary to resolve the matter and protect our legitimate interests.
Marketing information may be retained until you withdraw consent or object, subject to limited records we may keep to ensure your opt-out continues to be respected.
Photos or videos based on consent may be retained until no longer needed for the stated purpose or until consent is withdrawn where deletion is reasonably possible and legally required.

Our nightlife experiences are intended for persons aged 18 or older.
We do not knowingly seek to collect personal data from children in connection with our nightlife experiences.

We may update this Privacy Policy from time to time to reflect changes in our services, technology, service providers or legal obligations.
